Ways to Improve the Effectiveness of Work Meetings

"Meet" appears to be the new four-letter office term. Employees all throughout the world dread lengthy, pointless meetings at the office. And for good cause.

Who among us hasn't sat through a meeting contemplating the work that was building up while colleagues or the boss babbled on about nothing? That is what occurs when meetings at work are just that—meetings—with no thought given to how to best utilize the time allotted for the meeting.

Meetings can be helpful for strategizing, planning events, or getting together to create a strategic agenda for the upcoming six months. Meetings can leave participants feeling productive rather than irritated if they are focused, have a time limit, and follow a well-planned agenda.

How, therefore, do you make meetings effective tools for the workplace?

First

Look at the meeting's broad agenda first. How many meetings do you have each week? Are the attendees only gathering because it's scheduled? Are these sessions primarily for ceremonial purposes or are actual tasks being completed there?

See what happens if you try holding meetings every other week. People may be more prepared and focused when there are fewer meetings at work.

Second

Set out a meeting agenda that is time-constrained, focused, and concise. To ensure that everyone is ready for the debate and aware of any decisions that must be taken, send the agenda in advance. Reel the meeting back in if it starts to stray from the agenda. If an important side conversation comes up, note it and put it on the agenda for the following meeting.

Third

Incorporate some originality and fun into meetings. Meet somewhere else if possible instead of in the conference room. If there are fewer people, congregate in a neighborhood coffee shop. Is there a park near where you work? A meeting outside is preferable. To get the meeting started, show a humorous YouTube video or crack a few jokes (but keep it brief!). You might be astonished at how a small adjustment to your surroundings or attitude can spark your imagination.
